Hiring an Interior Design Company in UAE: A Designer's Checklist

A working designer's guide to the questions owners rarely think to ask.


A client called us once about a villa in Al Barsha. The house had been finished eight months earlier by another firm, photographed beautifully, and posted everywhere. She wanted us to look at the kitchen. When we arrived, the problem was visible from the front door: the island had been placed with 700mm of clearance on the working side. Two people could stand in that kitchen only if one of them turned sideways. The renders had been gorgeous. Nobody had drawn a plan with a person on it.


She had hired on the strength of images. Most owners do, because images are the only thing a design company puts in public. Everything that separates a good studio from a decorative one lives in the drawings, the specifications and the approvals, and none of that photographs well.


At Algedra Interior Design we have spent years running interior and architecture projects across the Emirates, and the pattern in how owners choose their designer has stayed remarkably consistent. So has the pattern in what goes wrong. What follows is the part of the process we wish more clients understood before the first meeting.


The thing you are actually buying


An interior design company sells a decision-making process, and delivers it as paper.

The paper is the point. A residential package should contain a space plan, furniture layouts with real dimensions, reflected ceiling plans, lighting layouts with circuiting, electrical and plumbing setting-out, joinery details at scale, a door and ironmongery schedule, and a material schedule naming every product by manufacturer and finish. A contractor builds from those documents. Everything the owner sees — the renders, the samples, the mood boards — exists to agree on what those documents will say.


When you ask a design company what you receive for the fee, listen for the drawing list. A studio that answers with a page count is describing a real deliverable.

Decoration and design are different purchases


The market uses both words interchangeably, and owners pay for one expecting the other.


Decoration is the visible layer: furniture, fabrics, rugs, art, styling, paint colours. It changes how a room looks and leaves the plan alone. A good decorator is genuinely valuable, and for a rented apartment or a recently handed-over unit with a sensible layout, decoration is often the correct and cheaper purchase.


Design is spatial and technical. It moves a wall, relocates a kitchen, carves a foyer out of an open-plan entry, adds a second reception room, redraws the lighting scheme, changes ceiling heights. Design goes through approvals; decoration mostly does not. Design costs more because it carries liability and produces a documentation set. If your brief includes the sentence "the layout doesn't work," you are shopping for design. Proximity matters more for the second than the first, since site visits become weekly — something we cover in our note on choosing a studio close to the property itself.

Approvals are the honest test of experience


Ask a studio to explain the approval route for your specific property. Not in general terms — for your address.


In Dubai, a fit-out submission typically runs through Dubai Municipality and Dubai Civil Defence, with a No Objection Certificate from the master developer for the community. Emaar, Nakheel, Meraas and Dubai Holding each run their own review, with their own drawing standards and their own turnaround. In Abu Dhabi, the Department of Municipalities and Transport and Abu Dhabi Civil Defence hold the process. In DIFC, DMCC and the other free zones, the authority is the zone itself. A tower adds building management: working hours, lift bookings, protection of common areas, a security deposit.


A studio that has done this will name the authority, tell you which registered contractor category the submission requires, describe the drawing set, and give you a realistic window — often four to six weeks with a round of comments. A studio that has not will tell you approvals are handled. The submission routes differ from emirate to emirate, and we have set out how fit-out works in each of the seven emirates for owners holding property in more than one. The difference in those two answers is roughly the difference between a project that runs and a project that stalls in month three.

How to read a portfolio critically


Renders and built photography are two different claims, and the honest studios label them.


Built photography is where you find the craft. Look at corners. Look at how a stone floor meets a timber one, whether the marble veining runs continuously across a book-matched pair of slabs, how a shadow gap resolves at a ceiling junction, whether the joinery reveals hold a consistent line. Look at the lighting: warm, layered, controlled, with the fittings themselves out of the eye line. Amateur schemes announce themselves through even, flat, cool downlighting.


Then look for your own project in theirs. A studio with ten built villas and no apartments will treat your Marina flat as a small villa. The reverse is equally true, and the markers of a serious practice are worth knowing before you shortlist anyone.

Give them your floor plan and see what happens


The single most revealing thing an owner can do costs nothing. Send each shortlisted studio the floor plan and ask what they would change.


Space planning is the first phase of interior design and the one every later decision rests on. The professional method runs in a sequence: a brief that captures function and use, a bubble diagram organising zones by adjacency and flow, a block plan placing those zones to scale on the real floor plate, a furniture plan with dimensions and clearances, then a scaled plan a contractor can build from. Each step narrows the options, and the trade-offs get made deliberately rather than discovered later.


Studios that plan properly will come back with observations: the dining room takes daylight the living room needs, the guest bathroom opens into a sightline from the entrance, the kitchen island wants another 300mm of clearance, the corridor to the bedrooms wastes nine square metres that could be storage. Studios that do not will come back with a style question.

Materials tell you the level a studio works at


Ask for a material schedule from a delivered project. A professional one names things: the stone by quarry and finish, the veneer by species and cut, the paint by system and sheen, the flooring by wear layer, the door by acoustic rating, the ironmongery by supplier.


At the upper end of the UAE market the vocabulary gets specific — Calacatta and Statuario for the pale dramatic veining that suits a double-height hall, Nero Marquina for a graphic bathroom floor, backlit onyx for a bar front or a majlis feature wall, Canaletto walnut and Macassar ebony for dining joinery, fluted oak for warmth along a corridor, stucco lucido for a plaster wall with depth in it, Murano crystal and alabaster and antique brass in the lighting.


The naming matters less than what it implies. A studio fluent at that level can also tell you which of those materials suits your household. Polished Calacatta on a kitchen worktop will etch the first time someone spills lemon juice on it. Dark timber floors show every mark in a house with children. Silk upholstery near a west-facing window in Dubai has a shorter life than the owner expects. Specification is a set of trade-offs, and a studio that presents only the upside is selling rather than advising.

Three ways of buying, and how they behave


Design-only. The studio designs and documents; you tender the package to a fit-out contractor. Cost control sits with you, tendering can save real money, and someone has to coordinate between the two parties. Suits owners with time, presence in the country, and a contractor they trust.

Contractor with in-house design. Fast, and often cheaper on paper. The tension is structural: the party specifying the materials also profits from supplying them.

Turnkey design and build. One company designs, procures, builds, and hands over furnished. Accountability sits in one place and the design intent survives into execution, which is the main reason overseas owners and hospitality clients choose it. The commercial arrangement wants an open, itemised budget so that the procurement margin is visible rather than assumed.


Two quotes that differ by a third usually differ in model, not in value. Establish which one each studio is proposing before comparing numbers.

What fees look like, and what a proposal should contain


UAE studios price three ways: a percentage of the construction and furnishing value, commonly in the eight to fifteen per cent range depending on scope; a rate per square foot, which suits large repetitive areas; or a fixed lump sum against a defined deliverables list, which most residential owners find easiest to control.


The structure matters less than the definition. A proposal worth signing states the deliverables by phase, the number of revision rounds included at concept, the drawings you receive, how many rooms get 3D visuals, and the split between design fee, procurement, supervision and construction cost. It also states exclusions — authority fees, structural engineering, specialist audiovisual or automation design, custom art commissioning — because unstated exclusions are where a fixed price stops being fixed.

The programme, honestly


Design phases get underestimated and build phases get compressed in the owner's imagination. A realistic residential run looks roughly like this:


Briefing, survey and space planning take two to four weeks. Concept and 3D visualisation with revisions take three to five. Technical documentation and material approvals take four to six. Authority and developer approvals take three to six, partly overlapping. Procurement runs underneath all of it and causes most of the delays. Imported stone, bespoke joinery and made-to-order furniture carry ten to sixteen week lead times, sometimes longer for a specific slab. Those items need ordering during documentation. A studio that presents a programme with procurement dates marked against the critical path has run the sequence before; a studio that presents a programme with only design and build phases has drawn a diagram.


Add contingency. Every project has one bad month.

Property class changes which experience counts


Villas and palaces. Plot, garden and pool coordination, double-height halls, dual reception provision, deep joinery packages, municipality approval for structural change. Look for built villa work in comparable communities. Penthouses form their own category again — view-first planning, private-lift arrival halls, integrated lighting control, acoustic separation from rooftop plant.

Apartments. Everything happens inside a tower shell. Structure stays put, MEP routes are fixed, the building sets working hours and demands an NOC, and the lift determines the maximum size of anything you bring in. The skill is millimetre planning and joinery that earns its footprint.

Commercial and hospitality. Compliance ratings, durability, brand standards, phased opening. Different fee model, different documentation, different pace.

The rooms that carry cultural weight


For Emirati and wider Gulf families, the reception rooms are the house's public face and the brief starts there. A family villa in Abu Dhabi, Al Ain or Sharjah generally wants separate men's and women's majlis, each with its own entrance and guest facilities, sized for real gatherings and positioned so guests reach them without crossing the family's private circulation.


The detailing follows from that use. Perimeter seating with room for service to pass behind, acoustics designed for a room holding forty people, lighting layered for both a daylight reception and a late evening, joinery for coffee service, and durability in the fabrics because these rooms work hard. Studios that treat a majlis as a formal living room have misread the brief, and the error surfaces the first time the house is full. Arrival, and the plan that never gave you one


The entrance receives the least brief and the most traffic.


In villas, the arrival hall carries the first impression of everything behind it and generally asks for a considered floor pattern, one vertical lighting gesture across the void, and concealed storage for shoes and coats. In apartments, the more common condition is a front door opening straight onto the living room. Creating a foyer there becomes a design act rather than a decorative one: a change of flooring, a dropped or coffered ceiling, a half-height screen or joinery run, a console and a rug and a light working together to make an arrival the plan never provided.


Owners rarely ask for it. It is one of the clearest markers of a studio that thinks spatially.

Six questions, and how to hear the answers


●    Which authority approvals does my property need, and who submits them?

●    Which of these projects were built, and which were conceptualized?

●    Who runs my project daily, and how many others do they carry at once?

●    What exactly is in the technical drawing package?

●    How is furniture procured, and what margin applies?

●    What happens to fee and programme if I change a room in week ten?


The content of the answers matters less than their texture. Answers with numbers, names, dates and caveats describe a process someone runs every week. What the good ones have in common


They ask more questions in the first meeting than they answer. They survey before quoting firmly. They give you a deliverables list by phase. They name materials by manufacturer. They raise approvals unprompted. They label renders and built work honestly. They assign a project manager who picks up the phone during the fit-out. They price the documentation properly, because the documentation is the thing that protects you on site.

That kitchen in Al Barsha, incidentally, was fixable. We moved the island 400mm, changed its dimensions, and rebuilt the joinery run opposite. It cost about a fifth of what the original kitchen cost, and it took five weeks. The client's summary of the whole experience was accurate enough to end on: she had chosen a company by looking at its finished rooms, when the useful information had been in the plans nobody showed her.
